Pricing

The marketing fundamentals a private practice needs to grow, without the extras you do not need yet. When you have room in the appointment book, add the accelerators and go faster.

What we guarantee

A reply in under 60 seconds.

Every missed call and every after-hours enquiry gets a response within a minute. Every one is logged in your dashboard, so you can check it happened.

Compliance checked before it goes live.

Every page, ad and campaign we publish is reviewed against AHPRA and TGA advertising requirements before it goes out, and again when the rules change. If something you have asked for cannot be published, we tell you before we build it.

How we handle compliance

What each part actually does

Your clinic websiteA site built to fill the appointment book, not to win a design award.
  • A page for each treatment and each location. Plus your team, your fees, your first-visit information and how to book.
  • Written to inform a patient who is nervous, comparing clinics, and not sure whether they need a referral.
  • Click-to-call, online booking and a short form on every page. Enquiries go to your front desk and your dashboard.
  • Fast on mobile, because that is where patients are looking.
  • Checked against AHPRA and TGA advertising requirements before it goes live.
  • Yours outright. Domain, design, words, photos.
Hosting and updatesWe keep it online. Your team does not touch it.
  • Hosting, security and backups handled.
  • New practitioner, new fee, new treatment, new opening hours? Send a message. We do it.
  • When the advertising rules change, we review your pages and fix what needs fixing.
  • No change requests, no hourly rate. It is included.
Google-ready pagesSet up so Google can read your site and show it to patients near you.
  • Treatment and location pages built the way Google likes them.
  • Titles, headings, images and speed sorted from day one.
  • Your Google Business Profile set up and connected to the site.
  • This is the groundwork. If you want us to push rankings month on month, that is SEO, below.
Missed call text backThe call reception could not take still becomes an appointment.
  • Miss a call, and a reply goes out in under 60 seconds asking what they need and offering a time.
  • They reply. The conversation lands in your inbox alongside everything else.
  • Every one logged, with the time, so you can check.
New patient chatThe questions that stop someone booking, answered on the spot.
  • Fees, availability, referral requirements, what to bring, parking, whether you treat their condition.
  • Takes their details and offers a time instead of asking them to ring back in the morning.
  • Trained on your clinic's own information, not on general medical content.
  • Anything clinical is handed to your team. It books appointments, it does not give advice.
Follow-up that runs itselfEvery enquiry in one inbox, chased until it books or says no.
  • Calls, forms, chats, texts and Facebook messages all land in one place.
  • Automatic follow-ups go out at the right times. Day one, day three, day seven.
  • Enquired and never booked, or booked and never showed? Both get followed up.
  • Your team sees every conversation in one place.
Review engineMore reviews on your Google listing, without the risk.
  • After an appointment a text goes out with a one-tap link. It asks about the experience of visiting the clinic, never about treatment.
  • Outcome testimonials are prohibited in advertising a regulated health service, so a review campaign that fishes for one puts your registration at risk. Plenty of agencies run exactly that campaign.
  • Unhappy patients reach your practice manager first, not your listing.
  • Review volume and freshness is what moves your ranking, so that is where the work goes.
Recall and reactivation campaignsThe fastest appointments to fill are the ones already on your list.
  • Recall campaigns for patients due back, and reactivation campaigns for patients who have not been in for a year or more.
  • Written as reminders and information rather than promotions, and compliance checked before they send.
  • Goes to your patient list by text and email. You choose when.
  • Runs off your practice management system where it can connect, or off an export where it cannot.
Booking source dashboardWhich page, ad or search each new patient came from.
  • Every call, form and online booking tied back to where it started.
  • Call recordings, so you can hear how new patient enquiries are handled at the front desk.
  • One screen. No spreadsheets.

Accelerators, for when you have room in the book

The core system brings in steady enquiries on its own. When you are ready to grow faster, these push harder. Only for practices on the core plan. Add them at the start or later, month to month.

Paid Ads

Reach patients at the moment they are looking for care. Google, Meta (Facebook and Instagram), or both.

  • Google Ads. $850 a month, or 12% of ad spend, whichever is higher. $1,200 one-off setup.
  • Meta Ads (Facebook and Instagram). $950 a month, or 12% of ad spend, whichever is higher. $1,200 one-off setup.
  • Both. $1,500 a month, or 15% of combined spend, whichever is higher. $1,800 one-off setup.

Ad spend is separate and paid straight to Google or Meta. It never passes through us. Every ad is compliance checked before it runs.

SEO

For when you want to own the searches in your suburbs, or across your city.

  • Local SEO. $850 a month. Show up on the map where your patients live.
  • Full SEO. $1,450 a month. Rank across your city and get cited in Google's AI answers.

No setup fee. Expect 3 to 6 months before it moves. Anyone who tells you faster is guessing.

Social Media Management

So patients trust you before their first appointment.

  • $650 a month. No setup fee.
  • About 12 posts a month. Content researched, created and edited for your practice.
  • Educational rather than promotional, written in your practitioners' voice, and compliance checked before it posts.

What practices typically run

Most practices start on the Patient Engine alone and add from here. These are the three combinations we see most often.

Core plus Local SEO

$1,150a month

Including GST. Saves $75 against the parts.

For a single-site practice that wants to own the searches nearby before it spends anything on ads.

Most common

Core plus Full SEO and Google Ads

$2,150a month

Including GST. Saves $525 against the parts.

The most common combination once a practice has capacity to fill and wants both the slow build and the fast channel running together.

Core plus Full SEO, both ad channels and Social Media Management

$3,100a month

Including GST. Saves $875 against the parts.

For multi-site groups, and for practices growing one treatment hard.

Ad spend is separate on any combination that includes ads, and the one-off setup fees on the ad channels still apply.

How it works

  1. 1

    Practice review.

We show you where your practice is losing patients, then the system running on a real account. You ask the hard questions. If it is not for you, we will say so.

  2. 2

We build it. 10 to 15 working days.

You fill in a short form. We build the website, the intake, the follow-up, the reviews, the recall campaigns and the dashboard, run the compliance check, then connect it all and test it.

  3. 3

    Launch call.

We walk your team through it and hand it over.

What the first three months look like

Month one

The system goes live.

Build, compliance review, launch. Your Google Business Profile is rebuilt, the site is live, the missed call reply and the chat are running, and the dashboard starts recording where enquiries come from. The first recall campaign goes out to your existing patient list, which is usually where the earliest appointments come from.

Month two

The follow-up starts earning.

Enquiries that would previously have gone cold start converting, because something is chasing them. You can see in the dashboard which pages and searches bring people in. This is where most practices decide whether to add an accelerator.

Month three

It becomes predictable.

Enough in the dashboard to read a pattern rather than a week. Reviews are accumulating on your listing. Reactivation has worked through the older part of your patient list.

What none of that gives you is a number. How many appointments this fills depends on your market, your fees, your capacity and whether your team works the enquiries. Anyone quoting you a patient count before they have seen your account is guessing.

The deal

  • No setup fee on the Patient Engine
  • No lock-in. Month to month.
  • No shared leads. Your enquiries are yours.
  • No hidden fees
  • You own the website, the accounts, the patient data and the reviews

Questions about the price

Is GST included?

Yes. $375 is the number you pay.

What is the catch?

The website stays live while you are on the plan. Stop paying and the site, the follow-up and the dashboard stop too. You keep the site files, the domain, your patient data and your reviews, but the system is what you are renting.

What happens if we leave?

You tell us, and it stops at the end of the month. We hand over your site files, your domain, your patient list and your reviews. No exit fee, no cancellation period.

How does the 12% work on ads?

You pay the monthly fee or the percentage of ad spend, whichever is higher. Spend $4,000 a month on Google Ads and 12% is $480, so you pay the $850 minimum. Spend $12,000 and 12% is $1,440, so you pay $1,440. Ad spend itself goes to Google, not us. Most agencies charge 15 to 20%.

Do we have to run ads?

No. Most practices start with the system on its own and add ads when they want more than it brings in.

Is SEO slow?

Yes. Three to six months before you see it move, sometimes longer in a competitive area. That is why it is an accelerator and not in the core plan.

Is GST really included, and is there really no setup fee?

Yes to both, on the Patient Engine. Most agencies in this market quote excluding GST and charge a one-off onboarding fee on top, often around $1,000. Worth checking when you compare. The ad channels do carry a setup fee and we say so.

Why is this cheaper than other healthcare agencies?

Because it is a productised system rather than a custom retainer. The website, the intake, the follow-up, the recall and the dashboard are the same build every time, adapted to your practice. Agencies charging four figures a month are usually selling bespoke strategy and a dedicated account manager. If that is what you want, we are not it.

Is compliance review really included, or is it an add-on?

Included, on everything we publish. It is not a legal opinion and it does not replace your own professional judgement, but nothing goes live without it and we will not publish something we think would fail.

Can we just buy the website?

No. A website on its own is a brochure. The system is the product.

Can we add or drop an accelerator later?

Yes. Add or drop at the end of any month.

How long does the build take?

10 to 15 working days from the day your onboarding form is in. A clinic site carries more pages than most, and everything goes through a compliance review before it publishes.

See it running before you decide

Book a practice review. We will show you where your practice is losing patients, show you the system on a real account, and tell you straight if it is a fit.
